Booking Terms & Conditions
Please read in full before making a booking.
When we receive a completed booking form, you (and any other person on whose behalf you book) agree to accept all of these conditions.
Booking and payments
Thank you for choosing your tour to Mongolia with HI PRINCE. Our clients are kindly asked to pay US $200 per person for the deposit with a completed booking form in order to confirm your tour.
On receipt of your deposit, we will send you confirmation of your booking along with details for the payment of the balance within business 3 days. The booking will not be confirmed until the deposit is received.
The balance is due 2 months prior to the departure date and we will send you an invoice for that. If you are booking within the 2 months of the tour start date, then full payment is required at time of booking. If the balance is not paid by the due date, Hi Prince reserves to cancel and apply the cancellation charges as detailed below. Payment must be made by bank transfer, international money transfer services or VISA and Master Card.
Cancellation service charge $100.00 (per person) will be deducted. The deposit is non-refundable if you notify your cancellation less than 60 days. If you cancel your booking after you have paid in full the following cancellation service charges will be made:
between 43 and 59 days prior to departure:……..10% of the tour cost
between 29 and 42 days before departure:……….20% of the tour cost
between 15 and 28 days before departure:…….. 25% of the tour cost
14 days or less before departure (or fail to join the tour):…….50% of the tour cost.
These dates refer to the date we receive written notification of your cancellation by email or fax.
We will give you a 100% refund regardless of our reason for cancelling.
We take responsibility for the services that we provide as well as identifying any foreseeable risks associated with your trip. We do not take responsible for any actions i.e. airlines cancellations or delays, loss of luggage, or medical and customs regulation and the result of you failing to join the tour. Our responsibility only starts at the scheduled time when you meet an authorized staff of our company at the Chingis Khaan Airport in Ulaanbaatar Mongolia.
You and your companions will need to be in suitable physical condition to undertake the expedition as set out in your chosen itinerary and become fully aware of the possible inherent risks and hazards of travel. You are responsible for paying for, or providing for your own personal equipment, tips, airport taxes, the cost of visas, vaccination, additional food and drink, personal spending money, travel insurance, and any other activities or provisions not included in the itinerary. For the protection of all participants, our Trek Leader reserves the right to prevent anyone from taking part in the tour, or any part of it, where that person clearly displays insufficient ability or whose behavior potentially endangers the health and/or safety of other participants.
If you have any medical conditions or special dietary needs you are responsible for informing us well in advance of your intended arrival.
Personal property is always your own responsibility, as is ensuring that you have all the appropriate passport and visa requirements for the duration of the tour.
Smoking is not allowed in any vehicle.
We believe that your safety and comport are priority. We recommend you that you should arrange own travel insurance.
Passports and Visas
Any problems or complaints about the tour should be raised with the tour guide at the earliest opportunity and they will normally be rectified or appropriate action taken.
All terms and conditions are made subject to, and enforced by, Mongolian law and must be done in a Mongolian court. If you require further action on return we will try and work towards an agreed settlement but you must notify us in writing within 21 days of the completion date of the tour.
